Annual Workforce Information Collection June 2021
The 2021 Workforce Profile Collection returns to the normal timeframe. The key dates are:
- Census date – Thursday 24th June 2021
- Annual reference period – 26th June 2020 to 24th June 2021
- System opens to accept submissions – Friday 25th June 2021
- Submissions due – Wednesday 21st July 2021
- Approvals due – Friday 23rd July 2021
Workforce Information Collection Process
Access to the Workforce Information Warehouse (WIW)
Access to the Workforce Information Warehouse (WIW) is available only to authorised officers for submission, reporting and analysis.
Access to the submission and reporting systems is through the Okta Portal.
Access to the data submission system is through the Workforce Data Submissions (C3) icon.
All submitter reports, approver reports and diversity reports are accessed through the Workforce Data Reporting (SSRS) icon.
New users seeking access to the submission and reporting systems should complete the Workforce Profile collection access form and return this to firstname.lastname@example.org.
Submitting data to the Workforce Information Warehouse
The online interface for the Workforce Information Warehouse (WIW) allows the PSC to maintain validations centrally. Agencies with subsidiary divisions can choose how to break up data with separate submitters and approvers.
The required method of submission to WIW is to load a CSV (comma separated values) file onto a web-based platform, which performs online validations and approvals. The specification for the CSV file is the Data Specifications document as published, but to assist agencies a simple example is available to download within the WIW Submission module itself.
Other key points when creating the CSV file are:
- files must be UTF-8 compliant
- files must be comma delimited
- values should not be enclosed in quotes
- trailing spaces should be removed from fields
- there must be one header row.
Submitters and approvers
The WIW provides workflow ensures agencies have access to reports and approval tools to review and verify the accuracy of submitted data online before it is passed to our analysts. We rely on departments and agencies to manage their internal approval and submission processes. Approvers will receive an email link to access their report via the Okta portal.
This report provides the option to approve or reject each submission. The accuracy and quality of workforce data is vital for workforce reporting and for the State of the NSW Public Sector Report, so approvers verify and sign off the information submitted on behalf of their agency or cluster.
Diversity reports include calculated estimates of diversity group representation and are used in the Annual Reports of departments and agencies. The reports are available for download by nominated recipients after our workforce profile quality assurance process is complete and any identified data issues have been corrected.
